Managing Leads

Leads are the potential customers discovered through your campaigns. This guide covers how to manage them effectively.

Lead Lifecycle

Leads progress through several stages:

Discovered → Researching → Qualifying → Qualified/Disqualified → Contacted → Responded → Converted

Lead Statuses

Status Description
Discovered Lead found, pending research
Researching AI is gathering company information
Qualifying Being evaluated against criteria
Qualified Meets your qualification criteria
Disqualified Does not meet criteria
Contacted Email has been sent
Responded Received a reply
Converted Deal closed or meeting booked
Missing Email No contact email found

Qualification Levels

Qualified leads are scored into levels:

  • Hot - Excellent fit, high priority
  • Warm - Good fit, standard priority
  • Cold - Marginal fit, lower priority
  • Not Qualified - Does not meet criteria

Viewing Leads

Campaign Leads View

Navigate to any campaign and click Leads to see:

  • All leads for that campaign
  • Status and qualification filters
  • Search by company name
  • Export options

Lead Details

Click any lead to view detailed information:

Company Information:

  • Company name and website
  • Industry and size
  • Location and address
  • Phone and email
  • Google rating and reviews

Research Data:

  • Company description
  • Key people and decision makers
  • Recent news and updates
  • Pain points identified
  • Opportunities detected

Activity History:

  • Emails sent
  • Opens and clicks
  • Replies received
  • Meeting status

Lead Actions

Individual Actions

  • View Details - See full lead information
  • Edit - Update lead data manually
  • Rescrape Website - Re-extract contact information
  • Requalify - Re-evaluate against current criteria
  • Delete - Remove lead from campaign

Bulk Actions

Select multiple leads to:

  • Bulk Rescrape - Re-extract contacts for all selected
  • Bulk Requalify - Re-evaluate all selected
  • Export CSV - Download selected leads
  • Delete Selected - Remove multiple leads

Importing Leads

CSV Import

Import existing leads from a CSV file:

  1. Click Import CSV in the leads view
  2. Upload your CSV file
  3. Map columns to lead fields
  4. Review and confirm import

Required Fields:

  • Company name
  • Website OR email

Optional Fields:

  • Contact name
  • Phone number
  • Address
  • Industry
  • Notes

Apify Dataset Import

Import leads from Apify scraping results:

  1. Click Import from Apify
  2. Enter your Apify dataset ID
  3. Map fields to lead data
  4. Import selected records

Exporting Leads

Export leads for use in other tools:

  1. Go to campaign leads view
  2. Apply any desired filters
  3. Click Export CSV
  4. Select fields to include
  5. Download the file

Export Fields:

  • Company information
  • Contact details
  • Qualification status
  • Research data
  • Activity metrics

What AI Research Discovers

The AI research phase gathers:

  • Company Overview - What the company does
  • Industry Classification - Sector and sub-sector
  • Company Size - Employee count estimate
  • Key People - Decision makers and contacts
  • Recent News - Latest company developments
  • Pain Points - Potential challenges they face
  • Opportunities - How your solution could help

Triggering Research

Research runs automatically for new leads. To re-research:

  1. Select leads that need updating
  2. Click Research Selected
  3. Monitor progress in the jobs panel

Quick Filters

  • Status - Filter by lead status
  • Qualification - Filter by qualification level
  • Has Email - Show only leads with emails
  • Has Phone - Show only leads with phones

Search leads by:

  • Company name
  • Website
  • Industry
  • Location
  • Contact name

Saved Filters

Save frequently used filter combinations for quick access.

Best Practices

Lead Quality

  • Review discovered leads before generating emails
  • Disqualify irrelevant leads early
  • Use requalification when criteria change

Data Management

  • Export leads regularly for backup
  • Clean up disqualified leads periodically
  • Keep notes on lead interactions

Research Optimization

  • Allow research to complete before sending
  • Review research data for accuracy
  • Update leads with manual information when available
